How does an answering service work?

The short answer
An answering service works by taking the calls you forward to it. You set call forwarding on your business line, and the service answers in your company's name. It follows your instructions to take a message, transfer the call or book an appointment. Then it sends you the result. GreetKeeper does all of this with AI, from $49 a month for 200 answered calls.

The longer answer

Forwarding is the part most people haven't seen before. Your phone company sends calls to the service's number in one of four modes. It can forward every call, calls when you're busy, calls you don't pick up, or calls when your phone is off.

You pick the mode and the ring delay at your carrier, not at the service. Verizon uses a fixed delay of about 30 seconds on no-answer forwarding. AT&T and T-Mobile let you pick between 5 and 30 seconds. A VoIP system sets it in its own dashboard.

Once a call arrives, someone has to know your business. A human service briefs its receptionists with a script. An AI service works from the hours, services and FAQs you give it.

Billing follows who answers. Human services mostly charge by the minute, like Ruby at $250 for 50 minutes or PATLive at $99 for 50 minutes, as of September 2026. AI services tend to charge by the call or by the month.

What happens on a single call, step by step

Your phone rings and the call forwards. On no-answer forwarding, you still get the first rings to pick it up yourself.

The service greets the caller in your business name and asks what they need. Good services put any recording or AI disclosure in that first line.

Next comes the job itself. A message means the caller's name, number and reason. A transfer means ringing your team. A booking means writing the appointment into your calendar.

Finally, the result reaches you. Older services email or text a message slip. Newer ones send a transcript, a summary and a webhook your other tools can pick up.

How GreetKeeper handles it

GreetKeeper gives you a dedicated local number, with the area code you choose at signup. It answers calls forwarded in any of the four modes. The ring count is set where the forwarding is set, and GreetKeeper answers the moment the call arrives.

It reads the caller's details back before it books into Google Calendar or Microsoft Outlook. When a caller asks for a person, it transfers to your team and tries a second number you nominate if the first isn't picked up.

After each call you get a transcript and a short summary, and the on-call person gets a text. The caller gets one text with the booking link or the confirmation. Plans are $49, $149 and $349 a month, with a 14-day free trial and no card.

Answering service basics

Do I need a new phone number for an answering service?

No. You keep your number and forward it to the service. GreetKeeper includes a dedicated local number per location, so your callers still dial the number on your van and your website.

Can an answering service answer only when I'm busy?

Yes. Busy forwarding and no-answer forwarding send only the calls you can't take. You set that mode at your carrier, and GreetKeeper answers whatever arrives.

How do I get my messages from an answering service?

Most services deliver by email, text or an app. GreetKeeper sends a transcript and a summary for every call and texts the on-call person with the caller's details.
