Turning a per-minute quote into a per-call price

Say a staffed service quotes you $1.60 a minute. (That's a made-up figure for the arithmetic, so swap in your real quote.) Pull last month's call log and work out your average call length. If it's 3 minutes 20 seconds, each call costs you about $5.33, and 180 calls a month comes to roughly $960.

Now check how minutes are rounded. Some services bill in full-minute increments, so a 2:10 call is billed as 3:00 and your 3:20 average quietly becomes 4:00. Those same 180 calls now cost $1,152. Ask whether hold time, after-call note-taking and the talk time on a transferred call are billable too, because each one stretches the billed minutes past what your own log shows.

Four questions that expose the real bill

What's the billing increment? Which activities besides talk time get billed? What does the first minute or call past your allowance cost? Is there a setup fee or a holiday surcharge? Get all four answers in writing before a trial starts, since a sales call is the last moment anyone is motivated to be clear with you.

Then ask something harder: what will the person answering know about your business? A staffed service earns its price when agents use judgment on your behalf. When agents read the same script software would follow, you're paying a human rate for script work. If they're trained to triage a panicking caller at midnight, that may be money well spent, and no per-call plan will replace it.
