Out-of-office voicemail greetings for your direct line
An out-of-office voicemail greeting says you're away, gives the date you're back, and names one person the caller can reach now. It runs under 20 seconds. The eight greetings below cover a vacation, a conference, parental leave, a medical leave with no return date, and a departure, with the colleague line written in each.
Hi, you've reached Maya Chen at Fielding Insurance. I'm out of the office until Monday, June 16th, and I'm not checking voicemail. For anything that can't wait, call Derek Nwosu at 555-0171. Otherwise, leave a message and I'll get back to you the week I return.
Return date, whether you're checking messages, one colleague with a number. That's the whole greeting.
This is Sam Okafor. I'm travelling for the ASHRAE conference through Thursday and checking messages once a day. Leave your name and number and I'll call you back by the end of the day. If it's urgent, text me instead.
Say how often you check, and what urgent should do differently. A caller who hears "once a day" doesn't call back three times.
You've reached Priya Raman. I'm on parental leave until early September. Please contact Luis Ortega, who's covering my clients, at 555-0138, or by email through our website. I'll respond to messages when I'm back.
A long absence needs a second way to reach the colleague as well as a number. Say the number slowly.
Hi, this is Jordan Blake. I'm out of the office on leave and don't have a return date yet. Please call Dana Whitfield at 555-0104 for anything you'd normally bring to me. Thank you for your patience.
No reason, no apology, a real handoff. Callers need to know who to reach, not why.
You've reached Ana Sousa. I'm out of the office today and back tomorrow morning. Leave a message and I'll return your call before noon tomorrow, or press zero to reach the front desk now.
Give a callback time as well as a return day. "Before noon tomorrow" is a promise the caller can plan around.
Hi, this is Marcus Bell at Ridgeway Solar. I'm away until Wednesday the 4th. If you're ready to get a quote before then, call Elena Park at 555-0122 and she'll take care of you. Otherwise, leave your details and I'll call you the morning I'm back.
A rep's greeting hands the buyer to someone who can close. Sending a hot lead to a message for a week is how a deal cools.
You've reached the voicemail of Chris Tanaka. I've left Hartley Accounting. For all client matters, please contact Nadia Hussain at 555-0147, who has taken over my accounts. Thank you.
Keep it on for at least 90 days after the departure. Clients call old direct lines for a long time.
It's Lena Fischer, I'm out until the 22nd; call Tom Reyes on 555-0180 if it can't wait, or leave a message.
Nine seconds. Fine for an internal line; add the company name for anything a customer might dial.
Why these greetings stop the repeat calls
Each one gives a date. "Out of the office" with no return day is the reason people call four times in a week.
Each one names a colleague with a number. A caller with something urgent needs a person, and a greeting that only offers a message loses them to whoever else they can find.
Each one says whether you're checking messages. Callers who know you're not don't wait for a callback that isn't coming.
None of them explains why. The reason is yours; the caller needs the date and the name.
Before you record the greeting
Confirm with the colleague before you name them. Their number in your greeting means their phone rings for your work.
Record the date as a day and a number, "Monday, June 16th", not "the 16th". Callers hearing it once need both.
Set a reminder to switch the greeting back the morning you return. A stale out-of-office tells callers you're gone long after you're back.
If you're the only person at the business, the colleague line becomes the company's main line, and the main line needs someone answering it while you're away.
How GreetKeeper covers the line while you're away
Forward your direct line to GreetKeeper for the days you're out and it answers as you'd want a colleague to: it tells the caller you're away and when you're back, takes the message with the caller's name, number and reason, and reads them back.
The colleague handoff becomes a transfer. A caller who says it can't wait is put through to the number you nominate, with a second fallback, and that person gets a text with the caller's details.
If you take bookings, it offers the first slot after your return from your calendar and confirms it by text to the caller. Every call arrives as a transcript and a short summary, so you come back to a list rather than a full mailbox.
The forwarding is set at your carrier or phone system, in any of the four modes, and GreetKeeper answers the moment the call arrives. Turn it off the day you're back.
Questions people ask about these greetings
What should an out-of-office voicemail say?
Your name, that you're away, the date you're back, whether you're checking messages, and one colleague's name and number for anything urgent. Under 20 seconds, no reason for the absence.
Should you say why you are out of the office?
No. The caller needs the return date and a person to reach; the reason is yours. Every greeting above works without one.
What do you say on voicemail when you have left the company?
State that you've left, name the person who has taken over your accounts, give their number, and stop. Keep the greeting on for at least 90 days, because clients keep calling old direct lines.
Can an AI receptionist answer my line while I'm on vacation?
Forward your line to GreetKeeper for the days you're away. It tells callers when you're back, takes messages with a read-back, transfers urgent calls to the colleague you name, and books into your calendar after your return date.
