Louisville's calendar has one week that breaks everything
Derby week fills every hotel, venue and service business at once. GreetKeeper handles the surge at a rate you can work out months ahead.
Caller
“We've got a corporate group of forty arriving Thursday and our caterer just canceled. Can you take it on at this notice?”
What happened next
- Logged a forty-cover event inquiry with a fixed Thursday date
- Noted the canceled supplier and the short notice
- Transferred to the events manager, who was still reachable
One week a year that behaves like a different city
Derby week concentrates an extraordinary amount of demand into a few days. Hotels, caterers, transport, cleaning, event services and every trade supporting them take a disproportionate share of the year's bookings in that window, from callers who are frequently out of state and working to a date that cannot move.
The operational problem is that it is entirely predictable and still impossible to staff. You know when it is coming and you cannot hire a receptionist for nine days. That combination is the clearest argument on this site for a meter with a published rate: the expensive week can be budgeted in February.
The fixed date is also the most important thing a caller says. An event inquiry without a date is not yet an inquiry, and a message saying somebody rang about catering throws away the only field that makes it actionable.
Eastern Time
Eastern time, at the western edge of the zone, which puts Louisville an hour ahead of much of the region it trades with. During the spring event season that matters in a specific way: a large share of callers are planning from Central and Mountain time and will ring well into your evening.
What Louisville calls about
Events and hospitality, on a calendar with one enormous spike.
Events, catering and venues
Fixed-date inquiries that spike violently around one week, from callers often planning from another state.
Hospitality and transport services
Businesses whose peak is a venue's peak, which is exactly when nobody free can pick up a phone.
Property and short-term rentals
A rental market that swells for the same week everything else does, with owners who are not on site.
Recording and AI disclosure in Kentucky
Kentucky takes the permissive position on recording, and the calendar is what shapes this market.
Kentucky is a one-party consent state for recording a call you are part of.
GreetKeeper can announce that a call is recorded and that the caller is speaking to an assistant. You write the wording, and you decide whether either notice plays. Our reading of the wider rules, with the dates, sits on the compliance page.
What it costs, including the part most vendors leave off
Booking is on every plan, and the rate after the allowance is published.
| Plan | Monthly | Calls included | After that |
|---|---|---|---|
| StarterFor a single location taking calls one line at a time. | $49 | 200 | $0.45 per call |
| ProfessionalBooking, routing and transfers included, not an add-on. | $149 | 750 | $0.35 per call |
| ScaleFor busy phones and longer opening hours. | $349 | 2,000 | $0.25 per call |
What we cannot tell you
Questions from Louisville businesses
What does an event week cost on a per-call plan?
Starter covers 200 answered calls at $49 and then $0.45 each. An extra 700 calls across the week works out at $315 on top. The rate is published, so that sum can be done in February rather than in May.
Can it capture a fixed event date?
If you have it ask, and in this market the date should be a required field. It lands in the transcript rather than in somebody's memory.
Can it handle a burst of calls arriving together?
Calls are answered in parallel rather than queueing for a free person, which is the structural difference from a human service during a surge week.
Does Kentucky require an AI disclosure?
Not as we read it in September 2026. Maine and Utah are the two states with duties reaching an inbound receptionist.
