Our webhook feeds a Zap, caught by Webhooks by Zapier on a paid Zapier plan. Acuity's own Zapier app then does the write. It can't create an appointment, so this page shows what it can do and what your team finishes.

What Acuity Scheduling is doing here
Acuity is a booking system for appointment businesses. You set up appointment types, assign them to staff, attach intake forms, and Acuity runs the client-facing side of the booking.
Its Zapier app is narrower than you'd hope. We read the action list in Zapier's directory in September 2026. It can add or update a client, and it can block off time on your schedule. It can also look up existing appointments. It has no action that creates an appointment.
That gap decides the shape of this page. A Zap can get the caller into Acuity as a client and can protect the slot. The appointment itself, with its type, its staff member and its intake form, is placed by a person.
Where the booking lands
As a client record and a held slot in Acuity. The appointment is added by your team.
GreetKeeper holds the booking first. Name, phone, email and the service the caller asked for are captured live and stored in your call log.
Your Zap catches GreetKeeper's webhook and runs Acuity's Add or Update Client action, so the caller exists in Acuity with the details she gave. A second step can use Add Blocked Off Time to hold the window she asked for, with her name and the service in the note.
Someone on your team opens Acuity and swaps the block for a real appointment on the right type. Acuity then sends its normal confirmation and intake form. That takes a minute, it is still a manual step, and we would rather say so.
There's a second route that skips Zapier. If Acuity syncs with your Google or Outlook calendar, GreetKeeper can write the booking there directly, and Acuity can treat that time as busy. Check your calendar sync settings in Acuity before you rely on it.

List the appointment types callers actually ask for
Most shops have twenty types in Acuity and three that people ring about. Write down those three. Everything else can stay a transfer to your team.
Set matching services and lengths in GreetKeeper
The lengths have to agree. If Acuity says 60 minutes and GreetKeeper holds 45, the block won't fit the work.
Build the Zap: client first, then the block
Open the Zap with Webhooks by Zapier and its Catch Hook trigger, then paste the address Zapier gives you into GreetKeeper. Add Acuity's Add or Update Client step and map name, email and phone. Then add Add Blocked Off Time, pick the calendar, and put the caller's name and service in the note.
Book yourself, then convert the block
Ring your number and book a real service. Open Acuity as the staff member. You should see the client and the blocked time. Replace the block with an appointment, and time how long that takes you.

Questions about Acuity Scheduling and GreetKeeper
Does the Zap create the appointment in Acuity?
No. Acuity's Zapier app has no create-appointment action. The Zap adds the client and can block the time, and a person on your team turns that into the appointment.
Will the caller get the intake form?
Yes, once your team adds the appointment, if the type has a form attached and the caller gave an email. Acuity sends it the way it does for a website booking.
What happens when someone rings to cancel?
GreetKeeper takes the request, logs it with the caller's number, and alerts your team. Canceling in Acuity stays a human job.
What does the Zapier side cost us?
A paid Zapier plan. GreetKeeper has no Zapier app of its own yet, so the Zap has to open with Webhooks by Zapier, and Zapier classes that as premium. Acuity's steps run after it.
