Every sign call lands in Follow Up Boss as a lead your agents can work

GreetKeeper answers, then its webhook starts a Zap on a paid Zapier plan. Follow Up Boss's own Zapier actions write the contact, the call and the task.

What Follow Up Boss is, and which Zapier actions it offers

Follow Up Boss is a CRM built for real estate agents and teams. Leads from portals, your website and sign calls sit in one list, and action plans send the follow-up texts and emails your team set up.

Its Zapier listing carries the write actions a phone call needs. You can create a contact, log a call, add a note, create a task or update a contact, and a Find a Contact search checks whether the caller is already in your database.

There is also an action called Create Contact Without Triggering Action Plans. That one matters to a team lead, and the section below explains why.

Where a sign call shows up in Follow Up Boss

GreetKeeper sends one signed webhook when the call ends. Your Zap turns it into records your agents already open.

A typical Zap runs Find a Contact on the caller's number first. A new number becomes a contact, and a known number gets its existing record updated, so a buyer who called last month doesn't turn into a duplicate.

Next, Log Call writes the call against that person with the summary GreetKeeper wrote and a link to the full transcript. Your agent sees what the caller asked about before they dial back, including the address on the sign.

Create Task puts a callback on the listing agent's list with the requested showing time. If your team routes by lead source, the new contact can carry that source too, so the round-robin rules you already run keep working.

Connecting GreetKeeper to Follow Up Boss

Five steps on your side, and the Zap is the only one that takes real thought.

  1. Write the questions every buyer call should answer

Which property, whether they're pre-approved, whether they have an agent, and the best time to reach them. GreetKeeper asks each one and sends the answers as question and answer pairs.

  2. Start the Zap with Webhooks by Zapier

You'll need your own paid Zapier plan (Professional or above). Choose Webhooks by Zapier, pick Catch Hook, and paste the address it gives you into GreetKeeper's webhook setting.

  3. Search before you create

Add Find a Contact on the caller's number. Create the contact only when the search comes back empty, and update it when it doesn't.

  4. Choose whether action plans fire

Use Create Contact Without Triggering Action Plans if an agent should call first. Use the standard create action if your plan's first text is the follow-up you want.

  5. Add Log Call and Create Task, then ring your own line

Map the summary and transcript link into the call log, and the requested time into the task. Place a test call about a real listing and open the new contact.

Getting more from sign calls in Follow Up Boss

Train GreetKeeper on your active listings: address, price band, bedrooms and open-house times. It answers those questions on the call and books the showing request for the agent.

Tag sign calls with their own lead source in the Zap. You'll see which listings make the phone ring in the reports you already use.

Set a transfer for callers who say they want to make an offer. GreetKeeper puts them through to the agent on duty and tries a second number you nominate if the first doesn't pick up.

Questions about Follow Up Boss and GreetKeeper

Will a caller who's already in Follow Up Boss become a duplicate?

Not if the Zap runs Find a Contact on the caller's number first. A match gets its record updated and a new call logged against it. Only a number your database has never seen creates a new contact.

Can the call skip our automatic action plans?

Yes. Follow Up Boss's Zapier listing has a Create Contact Without Triggering Action Plans action. Use it when an agent should make the first follow-up personally.

Does the team need a paid Zapier plan?

Yes. The Zap begins with Webhooks by Zapier and its Catch Hook trigger, which needs a paid Zapier plan (Professional or above). Follow Up Boss's own actions do the writing from there.

What reaches Follow Up Boss from each call?

The caller's name and number, their email when they gave it, the reason for calling, your intake answers, the short summary, any requested showing time and a link to the transcript. You pick which fields map where in the Zap.
