What GoHighLevel is, and what its Zapier app supports

GoHighLevel is an agency platform: CRM, pipelines, SMS and email campaigns, funnels and calendars, sold to agencies who run sub-accounts for their own clients.

Its strength for phone calls is the follow-up engine. A contact entering a pipeline stage can trigger an SMS within seconds and an email sequence behind it.

The GoHighLevel Zapier app creates and updates contacts, adds them to campaigns or workflows, and moves opportunities between pipeline stages. Each sub-account connects separately, which matters if you run dozens.

Where the call actually lands

A contact in a named stage, and whatever automation that stage already triggers.

The Zap creates the contact in the sub-account you chose, with the caller's number, the ad or source they mentioned, and the answers to your questions as custom fields.

An opportunity is then placed in the pipeline stage that matches what happened on the call. A caller who agreed a visit goes into your Booked stage. A caller who only wanted a price goes into Quoted.

Your workflows do the rest. The confirmation text, the reminder the day before, the review request afterwards. GreetKeeper supplies the entry point, and your existing GoHighLevel build handles the sequence.

Wiring a sub-account

  1. Pick the sub-account and the pipeline

    Zapier connects per sub-account. Start with the client you get the most calls for, and note which pipeline and stage a fresh inquiry belongs in.

  2. Catch the webhook and connect GoHighLevel in Zapier

    You need your own paid Zapier account, since the Zap opens with Webhooks by Zapier and Catch Hook. Paste that hook's address into GreetKeeper. Zapier's directory lists the GoHighLevel app as LeadConnector, which is HighLevel's own name for it, so search for that. Watch your task usage here, because a busy sub-account can burn through a Zapier plan quickly.

  3. Create the contact and set the stage by call outcome

    Branch on what happened. Booked, quoted, or wrong number each map to a different stage, so your automation does not text a supplier about their appointment.

  4. Test with workflows live

    Place a real call to your own mobile and let the automation run. Watch for the SMS arriving, not only for the contact appearing. Then clone the Zap to the next sub-account.

No. GoHighLevel connects to Zapier per sub-account, so each client needs its own Zap and connection. Build one carefully, then clone it.

Will our SMS workflow fire from a phone call?

Yes, if the workflow triggers on the contact or the pipeline stage. That is why stage mapping matters. Send a wrong number into Booked and it gets your confirmation text.

Does GreetKeeper book into the GoHighLevel calendar?

Not directly. It can place the contact in a Booked stage and let your workflow handle the calendar. For a live write during the call, the calendars we write into natively are Google Calendar, Outlook and Microsoft 365.

Can an agency skip the paid Zapier plan?

No. Each Zap starts from a caught webhook, because GreetKeeper has no Zapier app yet, and Zapier only offers that trigger on paid plans. Size the plan for every sub-account you connect.
