What Dialpad is in this setup

Dialpad is a cloud phone system that leans heavily on its own call transcription and coaching features. Teams sit inside departments, and departments sit inside offices.

Routing is configured per department and per office, with separate behavior for open hours, closed hours and holidays. Each one has a list of destinations.

One destination type is an external number. Add your GreetKeeper number there and Dialpad hands the call straight over when that routing step is reached.

Where the call record lands

Dialpad writes its own transcripts. GreetKeeper does not add to them, and knowing which system holds which call matters.

Once a call is forwarded out, Dialpad's own transcription stops at the handover. Your Dialpad call history shows the call and where it went. The conversation belongs to GreetKeeper.

GreetKeeper sends the transcript and summary to the address you nominate, or posts them to a webhook. Teams already used to Dialpad's summaries usually pick email, because the format feels familiar.

Booking works through your calendar, not through Dialpad. A connected Google Calendar or Outlook gets the appointment written in while the caller is still talking.

Routing Dialpad to GreetKeeper

Admin settings, one department first. Closed hours is the low-risk place to start.

  1. Choose the department or office

    Sales, support, or your main office number. Pick the one where calls currently fall into voicemail most often.

  2. Open its call routing settings

    In admin settings, find the department, then Call Routing. You'll see open hours, closed hours and holiday behavior listed separately.

  3. Add GreetKeeper as an external number

    In the routing step you want, choose to forward to an external number and enter your GreetKeeper number. Start with closed hours so nothing changes during the day.

  4. Test outside opening hours

    Ring the department number after close. GreetKeeper answers. Open the Dialpad call history afterwards and note what it did and did not capture.

Do I lose Dialpad's transcription on forwarded calls?

Dialpad transcribes what happens inside Dialpad. After the forward, GreetKeeper transcribes and summarizes the call and sends it to you.

Can different departments use different GreetKeeper behavior?

Set up separate GreetKeeper numbers with their own instructions, then point each department at the number that matches it.

Will the caller hear a gap during the handover?

There's a short connection pause, the same as any forwarded call. GreetKeeper answers and states that it is an AI receptionist before asking anything.
