How to forward Ooma Office calls to GreetKeeper
Ooma Office gives each user a Call Forwarding tab and a desk-phone shortcut. Set the destination once, then toggle it whenever the office empties.
The four forwarding modes on Ooma Office
Ooma Office lists three settings on each user's Call Forwarding tab: Disabled, Enabled, and Enabled when devices offline. Between them and the *74 toggle on the desk phone, you can cover every mode a small office needs.
| Mode | How you set it in Ooma Office | What reaches GreetKeeper |
|---|---|---|
| All calls | Call Forwarding tab set to Enabled, or *72 and the number from a desk phone | Every call to that user |
| Busy | Enabled for the stretch when the desk is on back-to-back calls, flipped with *74 | Callers who would otherwise wait on hold |
| No answer | Enabled when the desk is empty, flipped with *74 as you leave | Callers who would otherwise hear voicemail |
| Unreachable | Enabled when devices offline | Every call while that user's Ooma phones and apps are offline |
An administrator sets the tab at office.ooma.com under Settings: pick the user's line, open Call Forwarding, choose the mode, enter the number and click Save. On a desk phone, *72 stores the number and *74 turns forwarding on or off.
Settings read on Ooma's how-to page, https://www.ooma.com/small-business-phone-systems/how-to/how-to-turn-call-forwarding-on-or-off-for-a-user/, and star codes in the Ooma Office End User Guide, https://support.ooma.com/assets/pdfs/Ooma-Office-EndUserGuide_EN%20710-0134-201.pdf, on 24 September 2026.
Set up forwarding on Ooma Office
Five steps, from copying the number to switching it off again.
Copy the GreetKeeper number for this office
Each location has its own GreetKeeper number. Copy the one for the office whose Ooma users you're about to forward.
Sign in to Ooma Office as an administrator
Go to office.ooma.com, open Settings and click the line for the user whose calls you want covered. Ooma's page says this screen needs an admin login.
Choose a mode on the Call Forwarding tab
Pick Enabled when devices offline to cover outages, or Enabled to send every call. Enter your GreetKeeper number and click Save.
Store the number on the desk phone too
Dial *72, wait for the prompt, key in the GreetKeeper number and press #. From then on, *74 flips forwarding on or off with a single code.
Ring the office from outside and check the result
Call the main number from a mobile, ask a question you've trained GreetKeeper on, and hang up. Your transcript and summary land within moments, and *74 turns forwarding back off.
Picking the Ooma setting that fits your office
An independent insurance agency with two agents on Ooma phones is the classic *74 office. When both agents head to a client meeting at noon, one presses *74 on the way out. GreetKeeper takes the renewal questions and the quote requests, and the agent presses *74 again at two.
A real estate brokerage that loses its internet during a storm is the offline case. With Enabled when devices offline set on the front-desk user, calls keep reaching GreetKeeper while the router is down. Buyers still get their showing request taken.
A small office that closes at five can set Enabled on the front-desk user each evening from the portal. Callers at 7pm hear your greeting, book a slot in your calendar, and receive one text with the confirmation.
Forward the users customers actually ring. Say callers dial the main line and reach the office manager's extension. That's the one Ooma user to set, and your internal lines stay as they are.
Ooma Office habits worth setting up early
Forwarding lives on each user, not on the company. If three people answer the main number, check which user the call lands on before you set anything.
Store the number with *72 first, and finish it with # as Ooma's guide asks. After that, *74 is the only code your team needs to remember.
Label the phone. A sticky note reading "*74 = GreetKeeper on and off" saves a Monday of calls landing in the wrong place.
Keep your team's transfer number current in GreetKeeper. When a caller asks for a person, GreetKeeper transfers to your team, so point that at a mobile that someone carries.
Ooma Office forwarding questions
Does Ooma Office forward calls when the internet goes down?
Yes, when the user is set to Enabled when devices offline. Ooma then forwards that user's calls while the phones and apps are offline, and GreetKeeper answers them.
What does *74 do on an Ooma Office phone?
Ooma's End User Guide says *74 toggles call forwarding on and off, following the phone's prompts. Store the destination first with *72, the number, then #.
Can each Ooma Office user forward to a different number?
Yes. The Call Forwarding tab sits on each user's line. Send the front desk to GreetKeeper and leave the owner's line ringing as normal.
Do I need admin access to set Ooma Office forwarding?
For the portal, yes. Ooma's page says to log in at office.ooma.com as an administrator. On the desk phone itself, the user can dial *72 and *74 directly.
Press *74, then call the office
Every plan starts with a 14-day free trial, every feature on, no card. Your Ooma numbers and extensions stay as they are.
