Forward missed RingCentral calls to GreetKeeper
One dropdown in RingCentral's Call handling window sends unanswered calls to GreetKeeper, with separate rules for open and closed hours.
The four forwarding modes on RingCentral
On RingCentral, forwarding lives in the Call handling window of the app. Two settings do the work. The ring order picks who rings first. The Missed calls action, set once for work hours and once for after hours, picks where an unanswered call goes.
| What you want | RingCentral setting | What happens to the call |
|---|---|---|
| Missed calls in work hours go to GreetKeeper | Work hours > Missed calls > Forward to external number | Your devices ring first; a call nobody picks up moves on to GreetKeeper |
| Missed calls after hours go to GreetKeeper | After hours > Missed calls > Forward to external number | Evening and weekend calls reach GreetKeeper once your after-hours ring order is done |
| Every phone rings together first | Incoming calls > Ring all at once | Desk phone, app and mobile ring at the same time, then the missed-call action runs |
| Phones ring one after another | Incoming calls > Ring in order | Your primary phone rings first, then the next in the order you dragged them |
The Missed calls dropdown has four choices: Send to voicemail, Play message and disconnect, Forward to extension, and Forward to external number. GreetKeeper is the last one. If your work hours are set to 24 hours, 7 days a week, the after-hours rule copies the work-hours one until you click Edit Schedule.

Set up forwarding on RingCentral
Five steps, from copying the number to switching it off again.
Copy your GreetKeeper number
Sign in to GreetKeeper and copy the ten-digit local number you chose at signup. You'll paste it into RingCentral as an external number.
Open Call handling
In the RingCentral app on desktop or web, click Settings in the left bar, select Phone, scroll to Call handling and click Edit. Pick Work hours or After hours at the top.
Set the ring order, then the missed-call action
Under Incoming calls, choose Ring in order or Ring all at once and switch on the devices you use. Under Missed calls, choose Forward to external number, paste your GreetKeeper number, and click Save.
Call in from outside
Ring your RingCentral number from a mobile and let every device ring out. GreetKeeper answers, and the transcript and summary reach your inbox. Your RingCentral log shows the call and the forward.
Change it back any time
Open the same Call handling window and set Missed calls to Send to voicemail, then click Save. Nothing else in your RingCentral setup moves.
Which RingCentral rule to change first
Picture a six-person accounting office in March. Every desk is on a client call by ten, and the main number keeps ringing. Point the work-hours Missed calls action at GreetKeeper. Each overflow caller gets booked into a partner's calendar, not a voicemail box nobody clears until Friday.
A property management office usually starts with the after-hours rule. Tenants call about leaks at night, and RingCentral already knows your schedule. GreetKeeper takes those calls, captures the unit and the problem, and texts the on-call person with the details.
If you run a small team where everyone answers, Ring all at once plus the forward is the fastest path for callers. Every phone rings in the same window, and one missed call goes straight on instead of waiting through each person in turn.
RingCentral settings worth checking
Small and medium business accounts can set call forwarding during account setup, on the Manage your incoming calls card. Every account can change it later in Phone settings.
If your work hours read 24/7, RingCentral uses the same settings for after hours. Click Edit Schedule and set real opening hours before you give the two rules different jobs.
In Ring in order, your primary phone always rings first. Drag the others into the order you want, then save.
This guide covers one user's call handling. The RingCentral integration page covers the bigger picture: which number to forward, and where each call record ends up.
RingCentral forwarding questions
How do I forward RingCentral calls to an external number?
Open Settings, then Phone, then Call handling, and click Edit. Under Missed calls, choose Forward to external number, enter the number, and click Save. Do it for work hours and after hours separately.
Can I send only after-hours RingCentral calls to GreetKeeper?
Yes. Set the forward on the After hours tab only and leave work hours on your usual missed-call action. Your schedule under Edit Schedule decides when each rule applies.
What does the caller hear when the forward kicks in?
Your GreetKeeper greeting, with no extra beep or menu. GreetKeeper reads the name, number and time back before it books, and the caller gets one text with the booking confirmation afterwards.
