What PracticePanther is, and what its Zapier app supports

PracticePanther is cloud practice management built around matters, contacts, tasks, time entries and invoices. Its automation workflows are a reason firms choose it over lighter tools.

Because tasks sit at the center of how firms use it, a new inquiry fits naturally as a contact plus a task assigned to whoever runs intake this week.

Its Zapier app creates contacts, matters, tasks, notes and call logs. For phone intake, contact and task are the two that matter, and a matter comes later once a lawyer has decided.

Where the call actually lands

A caller, a Zap, and a task with a name on it. That is the whole shape of it.

PracticePanther creates the contact from the caller's details. The Zap then creates a task, assigned to your intake person, carrying the answers GreetKeeper collected on the call.

Firms that run intake through PracticePanther's own workflows can trigger those from the new contact. The Zap drops the record in, and your existing automation takes over from there.

A matter is not created automatically, and that is deliberate. Estate inquiries in particular go cold often, and a matter list full of callers who never signed makes your reporting useless.

Wiring it up

Four steps. Decide the destination first, because changing it later means rebuilding the field map.

  1. Name the intake owner

    Tasks need an assignee. Pick the person or the role that reads new inquiries, and put that into the Zap so nothing lands unowned.

  2. Give GreetKeeper a hook to post to

    Your firm needs its own paid Zapier account. Add Webhooks by Zapier as the first step, choose Catch Hook, and paste the address into GreetKeeper. Each finished call then arrives with the caller's name and number, the reason for calling and a link to the transcript.

  3. Create the contact, then the task

    Two actions in one Zap. The task body should hold the reason for calling and the transcript link, so whoever owns intake can read the full answers in one click.

  4. Enable AI disclosure and run one live call

    Utah requires regulated occupations, law included, to disclose verbally at the start. Switch the announcement on, then call your own number and confirm the task lands with the right assignee.

What this connection does not do

Questions about PracticePanther and GreetKeeper

Can the Zap create a matter instead of a task?

It can, because the app has a create-matter action. Most firms choose not to, because unqualified probate and family inquiries fill a matter list quickly and distort your reporting.

Does it work with PracticePanther's own workflows?

Yes, indirectly. The Zap creates the contact, and any workflow you have triggered by a new contact runs as usual. GreetKeeper does not need to know those workflows exist.

What does a caller hear if we are closed?

Whatever you wrote. Typically that the firm is closed, that you are taking their details, and when someone will call back. It does not promise a same-day call unless you told it to.

Will PracticePanther show up next to GreetKeeper in Zapier's app list?

PracticePanther will. GreetKeeper won't, because we have no Zapier app yet. The call reaches your Zap through Webhooks by Zapier, which needs a paid Zapier plan.
