What Clio is, and what its Zapier app can create
Clio is cloud practice management for law firms. Matters, contacts, calendars, time entries and trust accounting sit in one place, and Clio Grow handles the intake side for firms that bought it.
Clio publishes a Zapier app, and that app is how most firms pull outside data in without writing code. What it will create depends on your Clio plan and which Clio product the Zap points at.
In practice, a call from GreetKeeper becomes a contact, a matter, or a task on an existing matter. Firms running Clio Grow often send it to a lead there instead, because that is where their intake pipeline already lives.
Where the call actually lands
The caller hangs up. The Zap fires. Something specific appears in Clio, and you choose what.
The common setup creates a contact with the caller's name, phone and email, then a matter or a task carrying the intake answers. Your intake lawyer opens Clio in the morning and reads what the caller actually said, not a name on a missed-call list.
Firms on Clio Grow usually point the Zap at a lead instead. That keeps the new inquiry inside the pipeline you already report on, and it stops half-qualified callers from cluttering your matter list.
The conflict questions you configure are asked on the call and travel with the record. If a caller names an opposing party you already act against, that name is in the record before anyone calls them back.

Firms that open a matter per inquiry drown in dead matters. A contact plus a task is the safer default, and you promote it to a matter once someone has qualified the caller.
Write the intake questions you want asked
Case type, date of the incident, whether they have signed with another firm, and your conflict screen. GreetKeeper asks these in order and stops there.
Build the Zap and map each answer to a Clio field
You need your own paid Zapier account. Start with Webhooks by Zapier, choose Catch Hook, and save the address it gives you in GreetKeeper. Then map what arrives to Clio fields rather than dumping it into a note, or your intake team will be reading paragraphs at 8am.
Enable the AI announcement, then call yourself
Utah requires regulated occupations, law included, to disclose verbally at the start that the caller is speaking to AI. Turn it on, place a test call, and check the Clio record that appears.

Questions about Clio and GreetKeeper
Should every call open a matter in Clio?
Most firms decide no. A contact plus a task keeps your matter list clean, and you open the matter once intake has qualified the caller. Clio Grow firms usually send it to a lead instead.
Will the AI answer a caller's legal question?
No. It answers only the questions about your firm that you trained it on, such as practice areas and office hours. Anything legal is routed to a person and logged for the callback.
What if the Zap fails overnight?
The call is still in GreetKeeper as a transcript and a summary, with the caller's number. You rebuild the Clio record from that. Nothing about the inquiry is lost with the Zap.
Does the firm need a paid Zapier subscription?
Yes. Zapier has no GreetKeeper app to choose yet, so the Zap listens with Webhooks by Zapier and its Catch Hook trigger. Zapier sells that as a premium app, on paid plans only.
