Every answered call becomes a lead or booking in SalesCrew

GreetKeeper posts one signed webhook straight to your SalesCrew instance at hang-up. No connector sits between them, and both are built by Hashlogics.

Handled

Caller

“Hi, I got your number from a neighbour. Our AC's been out since lunch and it's 96 inside. Can someone come out tomorrow, and roughly what would that run?”

What happened next

  • Took the caller's name, mobile number and street address
  • Asked your three intake questions: system age, warranty status, and whether anyone's home tomorrow
  • Created the lead in SalesCrew with the summary, the intake answers and the transcript link, then booked Friday 8:00am

How GreetKeeper connects to SalesCrew

Three states, and we publish the one that is true rather than the one that reads best.

What SalesCrew is, and why the call goes in directly

SalesCrew is the CRM built by the same team that builds GreetKeeper. It holds your contacts, companies, deals, tasks, meetings and notes, with a timeline on every record and unlimited seats on every plan.

Two things matter for phone calls. SalesCrew has an inbound channel that takes leads from forms, bookings and webhooks. Every action in the app is also a tool an AI assistant such as Claude or ChatGPT can run, so a lead from a call can be worked by a person or by an agent you supervise.

Because one team builds both products, the connection is direct. GreetKeeper's webhook posts to your SalesCrew instance, and SalesCrew reads the payload as it arrives. Nothing sits in the middle, so there's no connector to pay for and no Zap to rebuild.

Where the call lands in SalesCrew

One call, one lead: that's the short answer. Your booking, message and transfer each add to that same record.

When a call ends, GreetKeeper sends the call.completed event. SalesCrew matches the caller's number or email to an existing contact and updates it, or creates a new lead in the inbound channel. Name, number, email and street address go on the record whenever the caller gave them.

Your call summary lands as a note on the timeline, with a link to the full transcript in GreetKeeper. Your intake answers arrive as question and answer pairs and fill the fields you map them to. A system's age becomes a field you can filter on, not a line buried in a note.

A booking.created event becomes a meeting on the lead, with the booked time. A message.taken event becomes a task for the owner you route it to. A transfer.made event is logged on the timeline, so whoever took the handoff and whoever calls back later see the same history.

What syncs, event by event

One signed POST per event, from GreetKeeper to SalesCrew. Retried on a failed delivery.

Every post carries an HMAC-SHA256 signature, so SalesCrew verifies it came from GreetKeeper before it writes anything.

Connecting GreetKeeper to SalesCrew

Five steps, and none of them needs code.

  1. Write the intake questions you want on every lead

Pick the three or four answers a rep needs before calling back: the job, the timing, the budget, whether anyone's home. GreetKeeper asks each one and sends the answers as question and answer pairs.

  2. Copy the inbound webhook address from SalesCrew

In SalesCrew, open Settings, then Integrations, and add GreetKeeper. You get an address and a signing secret. Paste both into GreetKeeper's webhook setting, so SalesCrew can verify every post.

  3. Map the intake answers to fields

Each question you wrote becomes a field on the lead. Map them once in SalesCrew, and every later call fills the same fields. A question you add later shows up as an unmapped answer until you place it.

  4. Decide what happens next

Choose the cadence a new phone lead enrols in and who gets the task when a message is taken. Decide whether a missed call sends a text back. Every outbound message waits in SalesCrew's approval queue until you switch that step to auto.

  5. Place a test call

Ring your GreetKeeper number from your mobile, book something, and watch the lead, the note and the meeting appear in SalesCrew. Delete the test lead afterwards. That one call proves the whole chain before your real line points at it.

Getting the most from the SalesCrew connection

Keep the intake questions short and the same for every call. A field that's filled on every lead is one you can report on; a question you rewrite every month leaves half your leads blank.

Route by outcome. A call that ended in a booking belongs with the meeting reminders, and a message taken after hours belongs with the on-call cadence. Both rules live in SalesCrew, so you change them without touching GreetKeeper.

Open the transcript link before the callback. Your summary says what the caller wanted; your transcript shows how they said it.

Questions about SalesCrew and GreetKeeper

Does every call create a lead, including wrong numbers and suppliers?

No. Robocalls and silent callers are screened out before the greeting and never reach SalesCrew. For the rest, you set a rule on the reason for calling or the outcome. It decides whether SalesCrew opens a lead or only logs a note on an existing contact.

Does the call recording go into SalesCrew?

Your note carries a link back to the call in GreetKeeper, where the transcript lives. Call recording is a setting you switch on in GreetKeeper, paired with a disclosure the caller hears. The same link takes your rep to that call.

What does a missed-call text-back look like from SalesCrew?

When GreetKeeper takes a message rather than a booking, SalesCrew sends the caller one text with your booking link, from a template you wrote. That text waits in your approval queue until you set the step to auto. A reply with the opt-out word stops further texts.

Do I need a Zapier account for this?

No. GreetKeeper posts straight to your SalesCrew instance, so there's no connector to pay for and nothing to rebuild when a Zap breaks. You set one address in GreetKeeper and one secret in SalesCrew, and that's the whole connection.

Which SalesCrew plan do I need?

Every SalesCrew plan takes inbound leads, runs cadences and includes unlimited seats, so the connection works on any of them. The SalesCrew pricing page lists each plan and what it includes.
