What Zoho CRM is, and what its Zapier app allows

Zoho CRM is the sales piece of a very large suite. Businesses tend to land on it because they already use Zoho Books, Desk or Mail, and the shared login is worth something.

It follows the Leads, Contacts, Accounts, Deals model, with custom modules and layouts available on the paid tiers. Blueprint automation is a common reason teams stay.

The Zoho CRM Zapier app creates and updates Leads, Contacts, Accounts and Deals, and can add a call log. Zoho also has Zoho Flow, its own automation tool, and some teams prefer to route the webhook there instead.

Where the call actually lands

A Lead by default, and a call log so the record shows what was actually said.

The Zap creates a Lead with the caller's name, phone, company and your qualifying answers. Set Lead Source to your phone value, or the channel stays invisible in every report you run afterwards.

A call log goes onto the record with the summary in the description. When a rep opens the Lead, they see an eleven-van fleet with a March contract end, not a bare phone number.

Zoho Blueprint can take it from there. Your existing process runs on the new Lead exactly as it does on a web form, so this is one more source rather than a parallel system.

Connecting the two

Decide first whether this belongs in Zapier or in Zoho Flow. Then build once.

  1. Check your Zoho edition and layout

    Custom fields and modules vary by edition. Confirm which fields exist on the Lead layout you use, because the Zap can only fill fields that are there.

  2. Catch the webhook, then authorize Zoho CRM

    Start the Zap with Webhooks by Zapier and its Catch Hook trigger, and give GreetKeeper the address. Then authorize Zoho CRM with a licensed user who can create Leads. The connection is per Zoho data center, so pick the right one. Zapier lists both the hook and Zoho CRM as premium apps, so your Zapier account has to be on a paid plan.

  3. Map the answers and set Lead Source

    Map each GreetKeeper answer to a real field, then set Lead Source to your phone value. That single field is what makes your channel reporting truthful.

  4. Add the call log and test against Blueprint

    Attach a call log with the summary, then place a test call. Check the Lead appears and that your Blueprint stages moved as they should.

Should we use Zapier or Zoho Flow?

Either works, because both can receive GreetKeeper's webhook. We have no app in either one yet. Zapier is faster to build and needs a paid plan for its Catch Hook trigger. Zoho Flow keeps the automation inside the suite you already pay for, which suits teams with a Zoho admin.

Lead or Contact for an inbound caller?

Lead for a stranger, since Zoho's conversion step then creates the Contact, Account and Deal together. Use a lookup in the Zap if you want existing customers to get a call log instead.

Can the AI quote prices on the call?

Only what you trained it on. If your pricing needs a survey or a fleet count, GreetKeeper takes the details and books the callback rather than guessing a number.
