How a spoken form works

  1. Define the fields and their order

    Name, contact number, email, reason for calling, how they heard of you, and the appointment they want. Keep it short; a spoken form is harder work than a screen.

  2. Spell back anything that can be misheard

    Surnames, email addresses and house numbers are read back to the caller. This is the step that makes a spoken form better than a handwritten note.

  3. Let a caller skip a field

    Somebody who will not give an email address still gets captured. The field is marked missing rather than the call being abandoned over it.

  4. Deliver it as fields, not prose

    The answers arrive as the structured fields you defined, with the transcript alongside. Google Calendar and Outlook connect natively; other systems receive our webhook through Zapier, which needs a paid Zapier plan.

How many fields can I ask for?

Technically more than you should. Six or seven is where most callers start losing patience, so choose the fields you genuinely cannot follow up without.

How accurate is the spelling?

Anything easy to mishear gets read back to the caller for confirmation, which is the main protection. We publish no accuracy figure, because we have not measured one.

Can it collect payment details?

No. Card and bank details are out of scope, along with identity documents. Keep this to inquiry and scheduling fields and handle money through your own system.
