A caller reads out a member ID and your desk is already on another line
GreetKeeper takes the insurance details a caller gives and passes them to your team. It does not contact a payer or check whether anyone is covered.
Caller
“Before I book, do you take my plan? It's a PPO, I've got the card here, member ID starts with a W. Group number's on the back.”
What happened next
- Announced itself as an AI before collecting anything
- Wrote down the carrier, member ID and group number as read out
- Said clearly that staff would confirm coverage, then took a booking
Every booking call stalls at the same question
Do you take my insurance. It is the first question most callers ask and the one your front desk can least afford to answer badly.
The honest answer usually needs a check nobody can do mid-call. So the desk says probably, or takes a number, and the caller is left unsure enough to keep shopping.
The details themselves are just transcription. Carrier, member ID, group number, the name on the card. Reading those out takes a minute and nobody needs clinical training to write them down.
GreetKeeper takes them accurately and reads them back. Then it says plainly that a person will confirm coverage, which is the truth and protects you from promising something wrong.
How the details get captured
Transcription and handoff. There is no lookup anywhere in this sequence.
Disclose the AI at the start
The caller knows who they are speaking to before reading out a member ID. Utah requires this disclosure verbally and prominently for regulated occupations, and GreetKeeper announces itself.
Take the card details and read them back
Carrier, member ID, group number and the name on the card. Reading them back catches the digit the caller misspoke, which is where most of these records go wrong.
Say what happens next, honestly
The caller is told a member of staff will confirm coverage and come back to them. No one is told they are covered, because the AI has no way of knowing that.
Book the appointment anyway if they want one
Many callers will book while the coverage question is being sorted. The AI can offer a real slot from your calendar and note that coverage is still pending.
What it costs to take these calls
Insurance questions are attached to most booking calls, so this volume is really your booking volume.
| Plan | Monthly | Calls included | After that |
|---|---|---|---|
| StarterFor a single location taking calls one line at a time. | $49 | 200 | $0.45 per call |
| ProfessionalBooking, routing and transfers included, not an add-on. | $149 | 750 | $0.35 per call |
| ScaleFor busy phones and longer opening hours. | $349 | 2,000 | $0.25 per call |
Starter is $49 a month for 200 answered calls, $0.45 over. Professional is $149 for 750 at $0.35. Scale is $349 for 2,000 at $0.25.
Reading card numbers out loud is slow, and reading them back doubles it. Per-call billing means that accuracy costs you nothing extra, while a per-minute service charges for every careful repetition.
Booking is included from the cheapest plan up, so a caller who is happy to book before coverage is confirmed can be scheduled in the same call.
The important boundaries
Questions people ask
Does it check eligibility with the insurer?
No. It writes down what the caller reads out and passes it to your team. There is no connection to any payer or eligibility system.
Can it tell a caller whether we accept their plan?
Only if you have written down a list of plans you accept and want it read out. Even then it says staff will confirm, because plan names and coverage rarely match one to one.
Is it safe to collect member IDs this way?
That is your call to make against your own requirements. GreetKeeper carries no certifications, and we make no HIPAA claim, so a practice needing a BAA should choose another route.
