Someone calls to check their Thursday slot and gets a busy tone
GreetKeeper answers inbound confirmation calls, tells the caller what you have trained it on, and hands anything that needs a change to your team.
Caller
“I got your reminder text but I want to make sure it's still 9:15 tomorrow. I've got school pickup after.”
What happened next
- Confirmed the caller's name and number against what they gave
- Answered where to park and what to bring, from your own notes
- Flagged the caller for a same-day callback, since a time change needs staff
Confirmation calls are short, constant and always at a bad moment
The day before a full calendar, your phone rings with the same four questions. Is it still on. What time again. Where do I park. Can I move it an hour.
None of those calls are hard. That is exactly why they hurt. Your front desk drops whatever they were doing, answers in ninety seconds, and loses the thread on the job they were mid-way through.
When those calls ring out, people assume the worst. A caller who cannot confirm a slot is a caller who might not show, and a no-show costs you the whole hour rather than the ninety seconds.
GreetKeeper picks up those calls so your desk does not have to. It answers what you have trained it on and routes the rest, which keeps the small questions off your team's afternoon.
What happens when a patient or customer rings to confirm
Four steps, all on the inbound call. Nothing here reaches out to anybody.
Take the caller's details first
Name, phone number and roughly when they think the appointment is. This is what your team needs to find them, and it takes fifteen seconds at the start of the call.
Answer the standing questions
Parking, what to bring, how early to arrive, what happens if they are late. You write these answers once and they stop being interruptions forever.
Pass a change request to a person
Wanting to move a slot means touching an appointment that already exists. GreetKeeper does not do that. It captures what the caller wants and flags it for your team.
Leave a written record
Every confirmation call arrives as a transcript and a short summary. Your desk can scan the morning's calls in a minute instead of replaying voicemails.
What it costs to take the confirmation traffic
Confirmation calls are short, which is precisely why per-call pricing reads differently here.
| Plan | Monthly | Calls included | After that |
|---|---|---|---|
| StarterFor a single location taking calls one line at a time. | $49 | 200 | $0.45 per call |
| ProfessionalBooking, routing and transfers included, not an add-on. | $149 | 750 | $0.35 per call |
| ScaleFor busy phones and longer opening hours. | $349 | 2,000 | $0.25 per call |
Starter is $49 a month for 200 answered calls, $0.45 after that. Professional is $149 for 750 at $0.35. Scale is $349 for 2,000 at $0.25.
A ninety-second confirmation call costs the same as a five-minute booking call. If your volume is mostly short calls, work out your cost per call and compare it against a per-minute service with a one-minute minimum.
Booking is on every plan. A caller who rings to confirm and ends up rebooking a future visit can be booked on the spot, even on Starter.
What this page is not claiming
Questions people ask
Will it call my patients the day before to confirm?
No. GreetKeeper only answers calls that come in to your number. Outbound reminder calls are a different product category with different legal rules, and we do not offer them.
Can it tell a caller what time their appointment is?
Only if you have connected a system it can read, or trained it on that information. On its own it takes the caller's details and passes the question to your team.
What if the caller wants to cancel?
It takes the cancellation request, the name and the number, and flags it for staff straight away. It will not remove the appointment from your calendar itself.
