What Calendly handles here

Calendly is a scheduling layer that sits over your real calendar. You define event types, each with a length, buffers and a set of hours, and Calendly stops anyone booking outside them.

Its Zapier app is built around invitees. The useful actions are Book Meeting for Invitee and Cancel Scheduled Event, on an event type you pick. Calendly then does what it always does: sends the confirmation, adds the reminder emails, and pushes the event onto the connected Google or Outlook calendar.

That last part matters. Calendly is not the final destination for the event. It is the booking rules plus the notifications, and the event itself still lands on the calendar you already connected to it.

Where the booking lands

Three hops, and you should know all three before you trust it with your line.

First, GreetKeeper takes the booking on the call. The caller gives a name, an email and a rough preference, and that sits in your GreetKeeper call log straight away.

Second, GreetKeeper sends its webhook once the booking is made, and your Zap catches it. Zapier runs the Calendly action you chose, usually Book Meeting for Invitee, against the event type you named during setup. Calendly applies its own rules at that moment.

Third, Calendly does the rest. The invitee shows up under that event type in your Calendly dashboard, the caller gets Calendly's confirmation email, and the event appears on whichever calendar Calendly already writes to. You have not changed any of that.

Connecting it

You need a Calendly account, a paid Zapier plan and about fifteen minutes.

  1. Decide which event type takes phone bookings

    Pick one. A 30-minute intro call is the usual choice. Phone callers cannot browse a menu of eleven event types, so keep it to one or two and let GreetKeeper route by what the caller asks for.

  2. Start the Zap with Webhooks by Zapier

    In Zapier, start a new Zap, search for Webhooks by Zapier and choose Catch Hook. Zapier hands you an address. Paste it into GreetKeeper's webhook settings, then place a test call so Zapier has a real booking to map against.

  3. Add Calendly's action and map the fields

    Choose Calendly as the action app and pick Book Meeting for Invitee. Map the caller's details from the caught webhook. Put the reason for the call into a Calendly question field so your team reads it before the meeting.

  4. Turn the Zap on and ring your own number

    Book yourself in. Watch the invitee appear in Calendly, check the confirmation email arrived, then cancel it. Do this before you point your published number anywhere near it.

Questions about Calendly and GreetKeeper

Do I need a paid Zapier plan?

Yes. GreetKeeper has no app in Zapier's directory yet, so the Zap starts with Webhooks by Zapier and its Catch Hook trigger. Zapier counts that as a premium app, and premium apps need a paid plan. Check Zapier's own pricing page for the current tiers.

Which calendar does the event actually appear on?

Whichever one Calendly is already connected to. GreetKeeper does not change that setting. If you want the event written directly instead, connect Google Calendar or Outlook to GreetKeeper and skip Calendly for phone bookings.

What if Calendly rejects the booking?

The Zap fails and Zapier flags it. The call itself is not lost: the transcript, the summary and the caller's number are in your GreetKeeper log, so you can call back and finish the booking by hand.
