A donor rings during your appeal and nobody is on the desk
Small teams miss donor calls during exactly the weeks that matter. GreetKeeper answers the common questions and passes real conversations to a person.
Caller
“I got your letter about the winter appeal. I'd like to give but I want to know how much actually reaches the families. Can someone explain that?”
What happened next
- Answered the allocation question from your published figures
- Took her name and number for a development officer to call
- Sent nothing to payments, because no card details were collected
Appeal weeks bury a two-person office
You post twelve thousand letters and the phone rings for two weeks. Your team is two people who also run the program the appeal is funding.
The calls are mostly the same handful of questions. How do I give, is it tax deductible, where does the money go, can I give monthly instead. None need a development officer.
The ones that do need a person are hidden among them. A caller asking about leaving a gift in a will should never be sent to voicemail, and right now they are.
GreetKeeper answers the routine questions from your own published material and hands the serious conversations to your team with a name and a number attached.
What a donor call produces
The setup is your FAQ, your annual report figures, and a short routing list.
Answer the standard giving questions
Where to donate online, tax status, how a monthly gift works, what the appeal is funding. Your published numbers, read out accurately.
Point people to the ways you actually take money
The AI directs callers to your donation page, your bank details or your team. It never collects card numbers on a call, because that is not something this does.
Route the conversations that need a human
Legacy gifts, major donations, complaints, press. You list these and the AI transfers or takes a detailed record for the right person.
Capture the donor properly
Name, number, what they were calling about and what prompted it. That last part tells you which appeal is working, which is hard to learn any other way.
What it costs a small charity
Nonprofit budgets are scrutinised, so the per-call figure is the number your board will ask about.
| Plan | Monthly | Calls included | After that |
|---|---|---|---|
| StarterFor a single location taking calls one line at a time. | $49 | 200 | $0.45 per call |
| ProfessionalBooking, routing and transfers included, not an add-on. | $149 | 750 | $0.35 per call |
| ScaleFor busy phones and longer opening hours. | $349 | 2,000 | $0.25 per call |
Starter is $49 a month for 200 answered calls at $0.45 over. Professional is $149 for 750 at $0.35. Scale is $349 for 2,000 at $0.25.
Appeal weeks are spiky, which is where printed overage helps. You can budget an appeal knowing extra calls cost $0.45 or less each, rather than asking for a quote.
Booking is on every plan, so a caller who wants to meet someone or attend an event can be put into the calendar during the same call.
Important boundaries
Questions people ask
Can a donor give over the phone with it?
No. GreetKeeper does not take card details on a call. It directs the caller to your donation page or to a member of staff who can take the gift.
Will it know if someone is already a regular donor?
No. Zapier receives the call after it ends and sends nothing back, so every caller is new to it. It captures what they tell you on the call.
How does it handle a legacy gift inquiry?
It routes those to whoever you nominate, with a full record of the conversation. Most charities transfer these directly rather than taking a message.
